Lync 2013: Gartner Magic Quadrant 2014

As we can see. Microsoft is now the leader in Gartner Magic Quadrant. Cisco has the latest two years been the leader.

Microsoft Lync


Microsoft Lync offers a full suite of UC functionality that Microsoft continues to improve with each release. It integrates with Office applications, Active Directory and Skype. Microsoft has a broad set of additional business applications that will increasingly be leveraged, including Office Graph (which uses machine learning to define the context and connect users with relevant documents, conversations and people) and Cortana (a digital assistant).



The Lync partner ecosystem expanded at a rapid pace; however, more importantly, the partners’ skill level and experience in complex deployments that include voice and video also improved significantly year over year. Lync’s improved federation capabilities have proven an effective way for groups to collaborate across organizational boundaries. For cloud delivery, Microsoft offers Lync Online as part of the Office 365 suite, as well as in private cloud configurations; in both cases, partners can be leveraged for telephony. However, enterprises should be aware that Lync Online offers only a subset of the on-premises Lync solution, most notably with limited PSTN connectivity.

Enterprises that have a significant number of employees that can benefit from Lync’s collaboration model should consider the Lync solution and understand how it might change their business processes and worker productivity. Enterprises considering deploying Lync telephony or video should understand the topology and infrastructure requirements, how they will support branch offices, and (if relevant) how they will deploy and obtain global third-party support. Enterprises with advanced telephony feature requirements should also ensure that the needed functions are supported.

Strengths


  • Microsoft Lync continues to make significant gains in the market and is attractive to a broad range of enterprises. In many cases, it is initially deployed for its IM, presence and Web conferencing functionalities, with gradual incremental deployments of telephony and video added as follow-on phased deployments for specifically targeted groups or regions.
  • The vendor has significantly improved its go-to-market strategy for Lync during the last year, positioning itself to more adequately address the real-time communications requirements of enterprises over the next several years.
  • Microsoft has added video capabilities, including support for Lync room-based video systems and interoperability of standards-based video endpoints.
  • Customers report that Lync functions can be readily integrated into business processes and applications, providing new, different and effective ways to perform tasks. Often, these new functions are achieved by deploying Lync enhancements from a growing list of ecosystem partners.

Cautions


  • Few IT managers report that they have completely eliminated their PBXs in Lync implementations. Typically, Lync IM/presence and Web conferencing are deployed across the broader employee base, while telephony is deployed only for a subset of employees. Microsoft’s stated telephony strategy is to leverage partners for functions like endpoints, gateways and contact center; therefore, enterprises interested in PBX-level capabilities should be prepared to also invest in a number of partner solutions to achieve advanced functionality.
  • Gartner clients report users with non-Microsoft endpoints, such as Mac workstations, are not satisfied with the functionality and quality of the Lync UX.
  • Gartner clients deploying Lync with in-house staff often report that multiple partners are required to obtain a complete deployment, and that this poses challenges (for example, different partners for telephones, gateways, servers, remote support and network monitoring); additionally, it can lead to release-level incompatibilities. This can also result in difficulty obtaining an accurate total cost for Lync service and support.
  • Some enterprises express concern that Microsoft’s bundling, combined with proprietary protocols, will leave them locked in a closed circle of choices. Bundling includes Exchange, Lync, SharePoint, Office, Skype and Yammer. While the video interoperability is a good sign, it also serves to emphasize the lack of standards-based capabilities in the other areas, such as standard SIP endpoints and WebRTC.

The future choice


As we know that more and more companies goes for a complete Lync solutions. Here in Norway more and more are changing from classic PBX and replace it with Microsoft Lync and direct SIP solutions. Here at Unify Square we firmly believe a truly successful Lync deployment lies in end-user satisfaction. When users are happy with Lync, they improve collaboration and reduce the cost of communications. The user-satisfaction mantra drives everything we do and we think it should drive you, too. Getting your users’ opinion is a good way to measure success and can help focus improvements and investments. But, as soon as you want to start listening to your users you will face the question of who to survey.

If your user base is around 100 employees or less, the answer is usually pretty straight forward: Just ask everyone. This is more of a census than a survey, but the small population size makes it feasible.

For bigger corporations, setting up a survey is a bit more involved. For example, let’s say you have 30,000 users. Inviting everyone to take your survey might not be such a good idea. There are obvious challenges which make targeting a survey rather difficult.  Users are in different time zones and locations and they possibly speak different languages. There are also the less obvious productivity costs of running a survey. Take our example of 30,000 users taking a quick, one-minute survey. Just this one survey adds up to a whopping total of 500 work hours.

StatisticsLuckily, there is no need to survey tens of thousands of users at once. The reason is a statistical concept called “survey sampling.” According to Wikipedia, survey sampling is the process of selecting a sample of elements from a target population in order to conduct a survey. Even if you’ve never heard this term before, you have certainly seen it applied in everyday life. Anytime you hear a story on the news claiming that “48% of the population is in support of [something],” a survey sample was used to get what is considered a statistically relevant result.

So, how did the surveyor arrive at the result? Did they go out and ask every single member of the population about their opinion? Certainly not. Instead, they only asked a few people, and extrapolated the results to be representative of the entire target population. This is a common concept, and a widely used and accepted practice (exit polls after elections are another good example) when it comes to surveys.

Now you are thinking about the number of people you need to survey to get an accurate result. Your number needs to hold up to the scrutiny of your peers and the boss. This is where “Sample Size Determination” helps guide your survey program. You can read all about how this complex formula works on Wikipedia. For the purpose of this blog post, the short version of the equation is that you need two simple data points to choose your sample size:

1.  How many people are in the total population?

2.  What is the level of certainty you want that the results represent the total population? 

The first data point is straight forward (30,000 in our example), but the second data point requires explanation. The level of certainty is called the “Confidence Level.” In regular speak, the confidence level lets you claim “We are 96% confident that the gathered results are representative.” As a surveyor, you select the confidence level you desire.  This selection directly influences the number of people in the survey sample size. Let’s take a look at how many of the 30,000 users we’ll have to include in our survey, given a few common confidence levels:

As you can see, even if we go for the highest possible confidence level, we only need to get the opinion of 650 users to achieve a 99% representative result. Interestingly enough, even for a huge population of 300 million, the sample size only increases slightly to a total of 664 users.

By using a statistically relevant sample of the user population, you can save a lot of time and get your survey results quickly.

Mastering MS UC: Quick Lync Fix: Requesting Lync Certificates from Comodo

Have you recently tried requesting a certificate for your Lync environment from Comodo? If you used the Lync Certificate Wizard to generate the request, you will probably run into the same issue I did during a recent deployment - they will reject the request with a non-specific error. Why? There is currently a bug in their system that prevents them from processing the request if there are capital letters embedded in the CSR. The significance here is that when using the Lync Certificate Wizard to generate the CSR, it will maintain the case of the letters used within Topology Builder. Additionally, the Lyncdiscover and Lyncdiscoverinternal names that are automatically added through the wizard to the CSR have the first letter capitalized. Fortunately, we have a couple options to resolve this.

You may encounter an issue while trying to install the August 2014 Cumulative Update for Microsoft Lync Server 2013 on a computer with just the Lync Server Core Components and/or Lync Server Administration Tools installed.  In the screenshot below, you can see that I only have the Lync Server Core Components and Lync Server Administration Tools installed:

If I try to apply the August 2014 Cumulative Update for Microsoft Lync Server 2013:

I get the following error message:

There were errors during the installation process. For details, see the log file at C:\Users\Administrator.TEST\Desktop\Lync_patchinstallerlog-TEST-LS15-MGMT-[2014-08-19][15-53-17].txt

and you can see that the Lync Server Core Components aren't updated:

Update (August 15, 2014): We’re just a few days in and there’s already a revision :)  Based on conversations I’ve had, there’s a desire for a 2010 version as well.  There are also environments that are mixed 2010/2013.  I have modified this tool to work equally well with both.  The commands behind the GUI are similar, however the 2010 commands do not have the ability to set PersistentChat, Mobility, or VoiceRoutingPolicy (hybrid O365 voice environments).  I can’t imagine these are policies that would ever be needed, however if you find a need, I can re-enable it for you.

I created this tool to allow you to add, modify, and remove Lync common area phones with an easy to use graphical front end.  This functionality is not available within the Lync Control Panel and even modifications via the Lync Management Shell can be difficult to those who don’t have to modify them often.

I hope you find this tool straightforward to use.  From a Lync server, you can simply right click it and run it.  However,  due to the modules it loads, it may start faster if you start it from a Lync Management Shell.  The opening screen looks like what you see below.  The glaring red warning is just a note to let you know that sometimes replication can take a bit of time and you may need to hit the refresh buttons a few times before you see updated data.  Within a six server Enterprise pool I was watching it take upwards of 8 seconds.

You should see a listing of all of your common area phones in front of you.  From here, just select them in the left box and change any settings you’d like.  As you change the settings, the colors of the fields should turn green letting you know that a change is pending.  Once you’re ready, click the Save Changes button.  If you change the DisplayName attribute, you’ll receive a warning letting you know to refresh your phone list.  This is because this we use this name to  display and reference the phones in the GUI and behind the scenes.

Clicking the Refresh Phone List button refreshes the list of Common Area Phones and redisplays them.  Clicking the Refresh Phone box only refreshes the information shown in the right side of the screen.

Clicking the Set Pin button resets the pin for the selected phone.  If you enter a pin and receive a failure, the tool is intelligent enough to let you know the error.  In the below screenshots, we highlight a phone, click the Set Pin button, enter a pin and click OK.  The pin we’ve entered is too short however and we receive an error.  Had we entered a pin with the required number of digits, we would have been returned back to the tool without additional prompts.

To remove a phone, simply highlight the phone of your choice and click the Remove Phone button.  You will be prompted for a confirmation before you delete.

To add a new phone, click the Create Phone button.  A new dialog will pop up which will allow you to supply information about the phone.  The OU, Pool, LineURI and DisplayName are required fields, and if you miss one of these you will be notified before you click Create.  The others can be left as is.  Typing an OU in can be cumbersome, so I’ve also added a Browse button that will load all of your OUs as well as the users container.  Drill in and select the OU you want the Common Phone to be created in and click the Select button.  Once you’re ready, click the Create button.  You may need to wait a moment and click the Refresh Phone List button before the data is available to the GUI.

My own future thoughts for improvement include a multi-select mode where you could select multiple phones and modify them as a group.  Let me know if you’d like to see this implemented.

The August 2014 Client update’s just landed, with some high-value fixes therein. Read all about kb2881070 here.

This update takes the Lync 2013 Client to 15.0.4641.1000.

What’s Fixed?

The update includes some GREAT bugfixes, with particular appeal to those still running Outlook 2010:

  • 2985514 Lync 2013 signs out and then signs in every 30 minutes
  • 2985513 Lync 2013 crashes when you manipulate a pivot table field during an Excel worksheet presentation
  • 2985512 Error “Event ID from source Lync cannot be found” instead of event logs from Lync 2013 appears in Event Viewer
  • 2981755 Cannot join a meeting by using Lync 2013 when the ACP MCU services are running on multiple front-end servers
  • 2981754 Cannot send CER data when a user cannot join meetings in Lync 2013
  • 2981753 Lync 2013 meeting issues after you install Lync Meeting Add-in for Office 2013
  • 2981752 Cannot select audio device during a VoIP call in Lync 2013 when a user is enabled for RCC

What’s New?

  • 2981750 An update enables Lync 2013 users to select the default unselected check boxes for saving instant message and call logs
After you install this update, the following check boxes can be set to be unselected as default in Lync 2013. Additionally, an endpoint user can select or click to clear the check boxes in the Lync 2013 client.
  • The Save IM conversation in my email Conversation History folder check box
  • The Save call logs in my email Conversation History folder check box

Note To set these check boxes to be unselected as default, administrator must run the following command:

Set-CsClientPolicy –Identity global –DefaultEnableIMAutoArchiving $false –DefaultEnableCallLogAutoArchiving $false

Known Issues

Screen-readers appear to be an ongoing problem, and they’re back on the known issues list again this update:

  • 2898357 Screen readers cannot read aloud keystrokes during a Lync 2013 application or desktop sharing session in Windows
  • 2932389 Persistent Chat file transfer fails between an external user and an internal user in Lync 2013

Just a Lync Guy: Script: Exchange Certificates Report

I’ve recently created a script (with the help of @y0avb) which generates an HTML report for Certificates in a Lync environment.
Since Certificates are widely been used in almost every Microsoft environment, we’ve decided to modify the script a bit and add the same functionality for Exchange.

The following script will query for every Exchange 2010/2013 server in the Environment and pull the following information on every Certificates which is assigned to an Exchange Service:

  • Services Assigned
  • Issuer
  • Thumbprint
  • Subject Name
  • Issue Date
  • Expiration Date
  • Self Signed or Not
  • Subject Alternative Names
  • Expires In (Days)

Script Features:

  • The script pulls the information from every server by using Get-Exchange Server cmdlet
  • The script support Exchange Certificates assignment awareness, meaning it only pull the certificates assigned to Exchange services
  • The Script query every exchange server in the environment which is Exchange 2010/2013
  • Certificates which are about to expire in the next 30 days will be colored in Red, Certificates which will expire in the next 60 days will be colored in orange
  • The script can also be configured to send email as well as being a scheduled task in order to be notified on a weekly/monthly basis.

The current caveats in this version of the script

  • Does not pull Exchange EDGE Certificates information
  • Does not pull Exchange 2007 Certificates Information

Microsoft Lync


Microsoft Lync offers a full suite of UC functionality that Microsoft continues to improve with each release. It integrates with Office applications, Active Directory and Skype. Microsoft has a broad set of additional business applications that will increasingly be leveraged, including Office Graph (which uses machine learning to define the context and connect users with relevant documents, conversations and people) and Cortana (a digital assistant).



The Lync partner ecosystem expanded at a rapid pace; however, more importantly, the partners’ skill level and experience in complex deployments that include voice and video also improved significantly year over year. Lync’s improved federation capabilities have proven an effective way for groups to collaborate across organizational boundaries. For cloud delivery, Microsoft offers Lync Online as part of the Office 365 suite, as well as in private cloud configurations; in both cases, partners can be leveraged for telephony. However, enterprises should be aware that Lync Online offers only a subset of the on-premises Lync solution, most notably with limited PSTN connectivity.

Enterprises that have a significant number of employees that can benefit from Lync’s collaboration model should consider the Lync solution and understand how it might change their business processes and worker productivity. Enterprises considering deploying Lync telephony or video should understand the topology and infrastructure requirements, how they will support branch offices, and (if relevant) how they will deploy and obtain global third-party support. Enterprises with advanced telephony feature requirements should also ensure that the needed functions are supported.

Strengths


  • Microsoft Lync continues to make significant gains in the market and is attractive to a broad range of enterprises. In many cases, it is initially deployed for its IM, presence and Web conferencing functionalities, with gradual incremental deployments of telephony and video added as follow-on phased deployments for specifically targeted groups or regions.
  • The vendor has significantly improved its go-to-market strategy for Lync during the last year, positioning itself to more adequately address the real-time communications requirements of enterprises over the next several years.
  • Microsoft has added video capabilities, including support for Lync room-based video systems and interoperability of standards-based video endpoints.
  • Customers report that Lync functions can be readily integrated into business processes and applications, providing new, different and effective ways to perform tasks. Often, these new functions are achieved by deploying Lync enhancements from a growing list of ecosystem partners.

Cautions


  • Few IT managers report that they have completely eliminated their PBXs in Lync implementations. Typically, Lync IM/presence and Web conferencing are deployed across the broader employee base, while telephony is deployed only for a subset of employees. Microsoft’s stated telephony strategy is to leverage partners for functions like endpoints, gateways and contact center; therefore, enterprises interested in PBX-level capabilities should be prepared to also invest in a number of partner solutions to achieve advanced functionality.
  • Gartner clients report users with non-Microsoft endpoints, such as Mac workstations, are not satisfied with the functionality and quality of the Lync UX.
  • Gartner clients deploying Lync with in-house staff often report that multiple partners are required to obtain a complete deployment, and that this poses challenges (for example, different partners for telephones, gateways, servers, remote support and network monitoring); additionally, it can lead to release-level incompatibilities. This can also result in difficulty obtaining an accurate total cost for Lync service and support.
  • Some enterprises express concern that Microsoft’s bundling, combined with proprietary protocols, will leave them locked in a closed circle of choices. Bundling includes Exchange, Lync, SharePoint, Office, Skype and Yammer. While the video interoperability is a good sign, it also serves to emphasize the lack of standards-based capabilities in the other areas, such as standard SIP endpoints and WebRTC.

The future choice
